For Canadian immigration law firms and RCICs

Agents carry the casework. You keep the final say.

VisaNest gives your practice three AI agents that answer new enquiries, gather and check client documents, prepare IMM forms and keep track of every IRCC deadline. Nothing is sent, signed or filed until a licensed representative approves it.

Opens a sample practice with fictional clients. Nothing to install.

Meet the agents

Three specialists, one practitioner in charge

Each agent owns one stretch of the client journey and hands its work to your team for review. Switch workflows on as you come to trust them, and pause any agent whenever you like.

  1. Enquiry arrives
  2. Lead Agent qualifies
  3. Case Agent gathers and checks
  4. Filing & Monitor Agent prepares
  5. You approve and file

01 · Lead Agent

From first message to booked consultation

Replies to new enquiries on your website chat, WhatsApp and email, day or night. It asks the qualifying questions your firm defines, opens the lead in your pipeline and books the consultation straight into a practitioner’s calendar.

  • Web chat, WhatsApp and email
  • Your qualifying questions
  • Booked into your calendar

02 · Case Agent

Keeps every file moving

Sends each client a questionnaire built for their exact case type, reads every document the moment it’s uploaded, keeps the checklist current and follows up, politely and persistently, on whatever is still outstanding.

  • Case-specific questionnaires
  • Reads and checks each upload
  • Chases what’s missing

03 · Filing & Monitor Agent

Drafts the forms, watches the rules

Fills IMM PDFs and portal fields from answers your team has already reviewed, turns IRCC letters into dated deadlines, and flags the rule and form changes that touch your open cases.

  • IMM forms and portal prefill
  • IRCC letters become deadlines
  • Rule changes mapped to cases

Also part of the platform: Practice CRM, Case Review, Regulatory Monitor.

Guardrails

Designed around the representative of record

Automation only helps a regulated practice if it respects how that practice is regulated. These five principles shape every agent in VisaNest.

How VisaNest protects client data
  1. 1. A person signs off on everything

Agents prepare drafts, suggestions and reminders. Only the representative of record can release a message, sign a form or submit an application.

  2. 2. Agents work inside a fence

Each agent runs only the workflows you switch on. None of them can send, file or charge a client on its own, and any agent can be paused at once.

  3. 3. Your firm’s knowledge stays yours

Checklists, templates, precedents and the way your firm writes sit in a private vault for your practice alone. That material is never used to train AI models.

  4. 4. Government sources, watched daily

IRCC form editions, fees, program instructions and provincial nominee streams are checked every day, versioned, and linked to the open cases each change affects.

  5. 5. Client data that stays in Canada

VisaNest is designed to host client data in Canadian cloud regions, keep it separate for every firm, and encrypt it both in transit and at rest.

Getting started

Set up around the way you already practise

Onboarding is something we do with your team, not a manual we hand over. Three steps take a practice from its existing files to a first live case.

  1. Step 1

    Bring what you already use

Share your checklists, intake questionnaires, retainer templates and standard emails in whatever shape they’re in: Word files, spreadsheets, PDFs or a shared drive. We turn them into your firm’s knowledge vault.

  2. Step 2

Decide what each agent may do

Choose the workflows each agent runs, which messages wait for review, and the points where a practitioner must sign off. You can tighten or relax any of it later.

  3. Step 3

Run a first live case together

We work through a real file with your team, from first enquiry to a package ready for review, and adjust the setup wherever it doesn’t match how you practise.

How do we get started?

Open the live demo to get a feel for the workspace, then book a walkthrough. If VisaNest looks like a fit, we collect your existing checklists and templates, set up your agents and sign-off points with you, and run a first live case side by side with your team.

Where is our data stored, and how is it protected?

VisaNest is designed to host client data in Canadian cloud regions, keep each firm’s data isolated from every other firm, and encrypt it in transit and at rest. Access is role-based and every agent action is recorded in an audit log. This demo build has no server at all: its fictional data stays in your browser.

Which case types does VisaNest support?

Temporary residence: employer-specific work permits, study permits, visitor visas and super visas, plus inside-Canada extensions (visitor records, work and study permit extensions, PGWP). Permanent residence: Express Entry, Provincial Nominee Program, spousal and common-law sponsorship, and parents and grandparents sponsorship. Also adult citizenship and PR card renewals, with a physical presence calculator. Humanitarian and compassionate applications and inland refugee claims are supported as intake and document checklists; form autofill for those two is not available yet.

Can clients complete intake in their own language?

Yes. Questionnaires and client messages can be offered in several languages so clients answer in the one they’re most comfortable with. The demo includes six: English, French, Spanish, Punjabi, Hindi and Simplified Chinese.

Can the client portal and the assistant carry our branding?

Yes. The client portal and the website assistant can show your firm’s name, logo and colours, and the assistant can be given its own name and tone of voice, so clients deal with your practice rather than with VisaNest.

What kind of support do we get?

Each practice works with an onboarding contact through setup and its first live case, then has ongoing help from the VisaNest team for configuration questions, new workflows and changes to IRCC forms.

Is VisaNest a law firm? Does it give immigration advice?

No. VisaNest is software for licensed practitioners. It doesn’t represent anyone and doesn’t give legal or immigration advice. Its agents prepare work for your team, and the licensed representative remains responsible for all advice, forms and submissions.
